Track project costs against the budget

Review project budgets and recorded costs in BidPilot, submit expenses for review, and check missing costs before comparing spending.

Review the correct budget

Open Costs & billing and select Budget. Check whether you are viewing the whole project, a work area, or a job. Accepted work uses a frozen agreement budget; later estimate edits do not silently replace it. Approved changes are tracked separately. Projects without a priced budget cannot provide a complete comparison.

Record an expense

Expense access is required to submit spending. A submitted expense needs review before it becomes an approved cost.

  1. Open the project and select Costs & billing.
  2. Select Expenses, then Add expense or Add receipt.
  3. Enter the amount and details, or attach the receipt.
  4. Check the project and work-area destination.
  5. Select Submit for review.
  6. Review the expense status and complete the available review before relying on recorded totals.

Review gaps before drawing conclusions

Check unassigned spending, missing prices, currencies, and approved time that still needs costing. A missing cost is not zero, and remaining budget is not final profit. Use Timesheets to correct time entries and expense review controls for expense corrections.
